A-I. Website Terms of Use & Ticket Sales Conditions

A0. Identification

FinTech Belgium vzw/asbl ("FTBE", "we", "us"), a non-profit association under Belgian law, with registered office at Witte Patersstraat 4, 1040 Etterbeek, Belgium, enterprise/VAT number BE 0652.997.664, operates the website www.fintechbelgium.be. These terms and conditions govern your use of this website and any purchase of event tickets made through it.

A1. Acceptance of these terms

By using this website or purchasing a ticket through it, you accept these terms and conditions in full. If you do not agree with any part of these terms, please do not use the website or purchase a ticket.

A2. Tickets and events

FTBE sells tickets on this website for events it organises ("Events"). Each Event listing states the price, date, time, location, and any additional conditions specific to that Event; those specific conditions take precedence over these general terms where they conflict. All prices are displayed in euro (EUR) and, unless stated otherwise, are exclusive of the applicable Belgian VAT (currently 21%), which is added at checkout. Please note that, because the place of supply for VAT purposes is where the Event physically takes place, Belgian VAT at 21% applies to your ticket purchase whenever the Event takes place in Belgium, regardless of the country from which you place your order or where you, as the purchaser, are established or resident. Payment is made online at the time of booking, through the secure payment methods offered on the ticketing platform used for the relevant Event, and your order is only confirmed once payment has been received in full. Following payment, you will receive an order confirmation and your ticket (typically an e-ticket) by e-mail; it is your responsibility to check that the details on your ticket are correct and to keep it available for entry to the Event. If FTBE issues an invoice for a ticket purchase (for example at your request or for a corporate booking), that invoice is additionally governed by FTBE's general invoicing terms and conditions, available on request.

A3. Right of withdrawal — not applicable to event tickets

Under Belgian and EU consumer law (Book VI of the Belgian Code of Economic Law, implementing Directive 2011/83/EU), consumers ordinarily have a 14-calendar-day right of withdrawal for purchases made online. This right does not apply to your ticket purchase: Article VI.53, 12° of the Code of Economic Law excludes the right of withdrawal for contracts relating to leisure activities where the contract provides for a specific date or period of performance. Because every Event ticket sold on this website is tied to a specific event date, once your order is confirmed and paid, it cannot be cancelled under the standard withdrawal right, and no refund is due on that basis. This is without prejudice to any cancellation or refund rights you may separately have under Article A4 below, or to any other mandatory right you have as a consumer under Belgian law.

A4. Bookings, substitutions, transfers and refunds

All bookings are final. Save as otherwise set out in this Article A4, and in accordance with the right-of-withdrawal exemption in Article A3, tickets are non-refundable and no refund will be given if you cancel your booking. Substitutions of attendees may be permitted, subject to availability and a potential administration fee. Ticket transfers to another attendee may likewise be allowed, subject to availability and any applicable administration fee; please contact us in advance. FTBE reserves the right to change the date, venue, or format of an Event (including moving between in-person, hybrid, or virtual formats); your ticket will remain valid for the rescheduled Event. If FTBE cancels an Event and does not reschedule it, a full refund of the ticket price will be issued. If an Event is postponed, your ticket will remain valid for the new date; if you are unable to attend the new date, you may request a refund within a reasonable period following the announcement of the new date.

A5. Force majeure

FTBE is not liable for any cancellation or delay caused by circumstances beyond its reasonable control, including but not limited to natural disasters, government measures, strikes, extreme weather, or pandemics. In such cases, FTBE will make reasonable efforts to reschedule the affected Event or offer a refund where appropriate, in accordance with Article A4.

A6. Travel and accommodation

FTBE is not liable for any travel, accommodation, or other costs you incur in connection with attending an Event, including where the Event is cancelled, postponed, or otherwise changed.

A7. Code of conduct

By attending an Event, you agree to comply with FTBE's Code of Conduct, set out in full in Part A-II below, which forms an integral part of these terms and conditions. FTBE may remove any participant who violates the Code of Conduct from an Event without refund.

A8. Photography and filming

FTBE, or third parties on its behalf, may take photographs, video, or audio recordings at Events for reporting, archival, and marketing purposes, including on the website and social media. By attending an Event, you acknowledge this and, save where you have expressly objected in advance in writing, you consent to such use. If you wish to object, please contact FTBE before the Event using the contact details in Article A18.

A9. Data protection and privacy notice

FTBE, with registered office as stated in Article A0, acts as data controller for the personal data processed through this website and in connection with ticket sales and Events. This clause is FTBE's privacy notice for that purpose; FTBE does not currently maintain a separate standalone privacy policy document.

Data collected: FTBE processes the personal data you provide when using this website or purchasing a ticket, in particular your name, e-mail address, billing details, payment confirmation, and, where relevant, dietary or accessibility requirements, as well as the content of any direct communication with FTBE.

Purpose and legal basis: this data is processed to process and confirm your order (performance of a contract), to organise and communicate with you about the Event, to comply with FTBE's legal and accounting obligations (legal obligation), and, where you have not objected, to send you information about future FTBE events (legitimate interest, subject to your right to opt out at any time free of charge).

Recipients: personal data is shared only with service providers FTBE relies on to deliver its services, such as the ticketing and payment platform used for the relevant Event, acting under FTBE's instructions, and, in relation to a specific Event, with Event partners or sponsors only where you have separately consented. FTBE does not sell personal data to third parties. Where a service provider is located outside the European Economic Area, FTBE ensures appropriate safeguards are in place in accordance with the GDPR.

Retention: personal data is kept for no longer than necessary for the purposes described above, and in any case no longer than five years after your last interaction with FTBE, save where a longer period is required by law — for example, invoices and related data must be kept for seven years under Belgian accounting rules.

Your rights: you have the right to request access to, correction of, or deletion of your personal data, to restrict or object to its processing, and to data portability, under the conditions set out in the GDPR. You may exercise these rights by contacting FTBE using the details in Article A18. You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données, Brussels — www.gegevensbeschermingsautoriteit.be).

A10. Cookies

This website may use cookies and similar technologies. Strictly necessary cookies, needed for the website and the ticket ordering process to function, are placed without requiring your consent. Where the website also uses analytics cookies (to understand how visitors use the website) or marketing cookies (for advertising or social media integration), these are only placed with your prior consent, given through the cookie banner shown when you first visit the website; you can withdraw or change your consent at any time via that banner or your browser settings, and you can also configure your browser to refuse cookies altogether, though this may affect the website's functionality. FTBE does not currently maintain a separate standalone cookie policy document; this clause describes FTBE's use of cookies on this website.

A11. Website access and availability

FTBE makes reasonable efforts to keep this website accessible but does not guarantee uninterrupted or error-free availability, and may suspend or restrict access to all or part of the website at any time, including for maintenance, without liability for any resulting inconvenience.

A12. Third-party links

This website may contain links to third-party websites. FTBE has no control over, and accepts no responsibility for, the content or practices of those third-party websites.

A13. Content, information, and liability

The information on this website is provided for general informational purposes only and does not constitute financial, legal, or professional advice. FTBE accepts no liability for decisions made in reliance on general information published on this website. FTBE takes reasonable care to ensure the information on this website is accurate but does not guarantee its completeness or correctness; if you notice an error, please let us know using the contact details in Article A18.

A14. User-submitted content

If you submit materials (such as images, text, or other content) to FTBE for publication on this website or in connection with an Event, you confirm that you own the necessary rights to that content or have the right to share it, and that it does not infringe any third party's rights or applicable law. Unless you object in writing before the relevant Event, you grant FTBE a free-of-charge, non-exclusive right to publish that content in connection with the website or the Event, without further compensation.

A15. Intellectual property

FTBE and its content contributors retain all intellectual property rights in the content published on this website. You may share this content for non-commercial purposes only, provided you include a working link back to the original source, retain author attribution, and do not modify the content.

A16. Changes to these terms

FTBE may update these terms and conditions from time to time; the version published on this website at any given time applies. Changes do not affect tickets already purchased before the change was published.

A17. Governing law and jurisdiction

These terms are governed exclusively by Belgian law. Without prejudice to any mandatory consumer-protection rules, any dispute falls within the exclusive jurisdiction of the courts of the judicial district of Brussels.

A18. Contact and complaints

For any question or complaint regarding these terms, a ticket purchase, or an Event, please contact FTBE at info@fintechbelgium.be or by post at the address in Article A0. FTBE will make reasonable efforts to resolve any complaint directly; you may also contact the Belgian Consumer Mediation Service (Consumentenombudsdienst / Service de médiation pour le consommateur — www.consumentenombudsdienst.be / www.mediationconsommateur.be) for an out-of-court settlement of any dispute that cannot be resolved directly.

A-II. Code of Conduct

This Code of Conduct applies to all attendees, speakers, sponsors, exhibitors, and staff at FTBE events, and forms an integral part of these terms and conditions (see Article A7).

I. Respect for All

Treat everyone with kindness, respect, and courtesy, regardless of gender, race, ethnicity, age, sexual orientation, disability, religion, or background. Be considerate of others' personal space, opinions, and boundaries.

II. Inclusivity

Welcome and include all participants. Ensure no one feels excluded or marginalised. Avoid any form of discriminatory or exclusionary behaviour.

III. Positive Communication

Engage in constructive and respectful communication. Avoid derogatory, offensive, or inflammatory language. Be mindful of tone and body language when interacting with others.

IV. Harassment-Free Environment

Any form of harassment, including sexual harassment, bullying, intimidation, or unwelcome advances, is strictly prohibited. Report any inappropriate behaviour to event organisers immediately.

V. Substance Use

Consume alcohol responsibly (if served). Do not pressure others to partake. Illegal substances or activities are not allowed.

VI. Consent

Always seek explicit, informed consent before engaging in physical contact (including hugs, touching, etc.). Respect others' boundaries and their right to decline interaction without question or pressure.

VII. Conflict Resolution

If conflicts arise, approach them with empathy and an open mind. Seek peaceful resolutions or report the issue to event organisers if necessary.

VIII. Health and Safety

Prioritise the health and safety of others. Avoid actions that could harm others physically or emotionally. Follow all venue safety rules and instructions from organisers, including COVID-19 precautions, if applicable.

IX. No Disruptive Behaviour

Avoid behaviour that disrupts the event or other participants' enjoyment. Respect the venue, its property, and event staff.

X. Consequences for Violations

Failure to comply with this Code of Conduct may result in removal from the event and potential barring from future events. Organisers reserve the right to take any actions necessary to maintain a safe, inclusive environment. Removal from the event by the Organisers does not entitle you to any refunds or compensation.
